Office relocation looks straightforward from the outside. Pack everything, load the truck, move to the new location, unpack and get back to work. Most businesses assume the process will take one day and that everything will be running normally the next morning.

The reality is almost always more complicated. Forgotten Item 1 — Cable Documentation

This is the single most common problem we see after an office move. The computers are packed, transported and placed at the new location. Then nobody can remember which cable connects to what. The monitor cable, the keyboard, the USB hub, the ethernet connection, the printer cable — in a busy office these form a complex web that looks obvious when it is set up but becomes a mystery once everything is disconnected.

The fix takes five minutes. Before disconnecting anything photograph the back of every computer, the main server rack and the cable management board. These photos are the reconnection guide at the new office. We remind every office customer to do this. The ones who do are back online within an hour of unloading. The ones who do not spend half a day figuring out connections.


Forgotten Item 2 — Server and Internet Setup Lead Time

Moving the physical office is one thing. Having internet and server connectivity working at the new location on day one is a completely separate task that requires advance planning.

Many businesses assume their internet provider can simply shift the connection to the new address on moving day. In reality most providers need several days to a week to transfer or set up a new connection. The same applies to businesses running their own servers — the server needs to be set up and tested at the new location before it can be used.

We have seen businesses complete a smooth physical move only to spend three days without internet at their new office because this was not arranged in advance. Contact your internet provider at least two weeks before your move date.


Forgotten Item 3 — Updating the Business Address

This sounds obvious but it is consistently overlooked in the rush of planning a physical move. Every platform, registration and contact point that has your current office address needs to be updated — Google Business Profile, GST registration, bank records, vendor contacts, client communications, website and social media pages.

GST address updates in particular can take several days to process. If your billing address does not match your registered address it creates compliance issues. This update needs to happen before or immediately after the move, not weeks later.


Forgotten Item 4 — Fragile Office Equipment Packing

Most offices have equipment that requires the same careful packing as household fragile items — monitors, printers, scanners, projectors and sometimes laboratory or specialist equipment. In the rush of an office move these are sometimes packed carelessly in regular boxes without adequate padding.

Monitors are the most frequently damaged item in office moves. They are often wrapped in a single layer and placed in a box that is then stacked under heavier items. A monitor packed this way rarely survives a move undamaged.

Each monitor needs individual bubble wrap, a dedicated carton and placement in the truck where nothing heavy sits on top of it. Printers and scanners need their ink cartridges removed before moving — cartridges can leak during transport if the equipment is tilted. Projectors need lens protection and individual cartons.


Forgotten Item 5 — Employee Responsibility vs Mover Responsibility

This is a planning gap that causes confusion on moving day. Businesses often assume the moving team will handle everything — including personal items at employee desks, confidential documents and specialist equipment that only employees know how to handle.

Our team handles furniture, general office equipment and carton boxes. But personal items at employee desks should be packed by the employees themselves. Confidential files and documents should be handled by designated staff members not by the moving team. Specialist equipment that requires specific knowledge to disassemble should be handled by the staff member who uses it.

Clarifying this division before moving day prevents confusion, protects confidential materials and ensures that sensitive equipment is handled correctly.


Forgotten Item 6 — Access Confirmation at the New Location

This happens regularly. The office move is planned, the team arrives at the new location and then problems appear. The building management was not informed about the moving truck. The goods lift is booked by another tenant. The parking area near the entrance is occupied. The key to the new office is with someone who is not present.

Every one of these problems adds time to the unloading process. Some of them stop unloading entirely until resolved.

Confirm the following with your new building management at least two days before the move — truck parking access, goods lift availability and booking, building entry permissions and key handover arrangements.


Forgotten Item 7 — A Basic Setup Kit for Day One

After a move is complete the office needs to function immediately. But the kettle is in a box somewhere. The toilet paper is packed. The basic stationery is buried under furniture. The extension boards are in an unlabelled carton.

Pack a separate clearly labelled day one box containing everything the office needs to function on the first day — stationery, extension boards, toilet supplies, tea and coffee supplies, basic tools and any documents needed for immediate work. Keep this box accessible and unload it first.
